Procurement and Tenders Straight from the Estimate and BIM Model
Tenders from the estimate are BEEMESTA procurements in which the request — the tender specification for suppliers — is created from estimate lines or 3D model elements rather than typed by hand. Suppliers submit offers and alternatives, you compare them in one table and award the winner by protocol, and the awarded prices flow back into the estimate.
How to create a request from the estimate
A procurement starts with the “New procurement” button. The wizard splits the selected estimate resources into a package of requests: at the “Positions” step, resources are shown “In structure” — section, budget item, class, resource — or as a “Resources only” list. Only what hasn’t been procured yet goes into a request, so the same need can’t be bought twice, and the package with all its requests is created in one step.
Services, equipment rental or one-off purchases that aren’t in the model are set up as manual requests: lines from the resource class catalog or free text, with quantity and unit. A manual request isn’t linked to the estimate, so its awarded prices don’t flow back into the report.
Requests from elements selected in the 3D model
To procure exactly what you see, select elements in the 3D viewer or isolate them and click “Create a request” on the resources panel. The number on the button shows how many elements will go into the request, and the resources panel next to it counts the same elements, so the two never diverge.
The wizard opens in the “In budget structure” view with the branches containing your selection expanded: only that part of the class is procured, not the whole class. Quantities are calculated from the elements’ own formulas. The selection is recorded on the model, so with “Show procurement” turned on, the 3D viewer highlights exactly these elements.
Essential terms, supplier invitations and sealed bids
Each request has essential terms — commercial (payment, delivery, warranty) and technical requirements. A supplier must confirm a mandatory term and may propose an alternative to a preferred one. Next, you invite suppliers and publish the request — to invited suppliers only, or publicly on the tender market, where open tenders are matched to suppliers by their resource classes.
Suppliers respond with offers and, if the request allows it, alternatives: you accept an alternative as an equivalent or reject it with a reason. With sealed bids, prices stay hidden until opening, and after the deadline all offers are revealed at once with the “Open bids” button.
Comparing offers and awarding the winner
The “Offer comparison” screen puts offers side by side: rows are request lines, columns are suppliers, and the lowest price in each row is highlighted. Deviations from preferred terms appear in a separate column, and offers in different currencies are converted at the current rate. Scenarios show the cost of covering everything with one supplier or splitting it among several, if the request allows combining.
The winner is awarded by protocol, and the result is published to participants — with feedback and a reason for those who didn’t win. Awarded prices for requests created from the estimate flow back into the report.
How a supplier takes part in tenders
Declare the classes you can supply on the “Resource Classes” tab: open tenders are matched to exactly those. Tenders you’ve been invited to or have joined yourself appear in “My participations”, sorted by status — from new invitations to submitted, completed and expired.
In a tender, you see the lines with their requirements, the essential terms and the buyer’s documents. Clarify an unclear requirement with “Ask the buyer”, and “Take part” opens the offer form with per-line prices and alternatives. After the award, the winner fills in the contract price and sends deliveries against it from “My deliveries”.
